I hope everyone had a great weekend! The snow is back, but at least it looks pretty outside :). Last week, Kelly was serenaded by a quartet on Valentine's Day which her fiance, Joel is a part of. Common Question"I requested an appointment outside of your open appointment hours and a CDC Specialist sent me and email which I replied to with all my information. It's been a few days and I haven't heard back yet. What should I do?"
A couple things could of caused this: 1) The student's email wasn't received (they didn't send it to [email protected] or they didn't send it). What you can do: say, "I'm sorry you didn't receive a response from us. Let me check our inbox to see if we received it." (Quick search tip: Type the students name or email in the search box located at the top right of the inbox. This will take seconds compared to scrolling through emails.) 2) We received the student's email, but it was never forwarded to Kelly, Bridget or I. What you can do: say, "I'm sorry you didn't receive a response from us. I will look into that for you and follow up with you today." Ask them if they would like us to follow up with them via cell or email. Then email the student's email to B, K and I with a note explaining that the email wasn't forwarded and if anyone would be available to meet with the student asap. ***Please remember to forward appointment request emails once we receive them. When a student replies to our appointment request emails it will be automatically filtered to our Appointment Request folder in Outlook. Also, appointment request emails are only sent to students who have attempted to set up an appointment in person. They are not meant for students who email us first to schedule an appointment. Please use the generic answer email for setting up an appointment in person instead.*** 3) A counselor received the student's request, but has not contacted them. What you can do: Once you confirmed that we received the student's email and forwarded it, I would send a follow up email to Kelly, Bridget and I to check on the status and inform us that the student stopped by to follow up. Apologize to the student and let them know that their email was forwarded to us and that you sent us a follow up email. Also let them know that they should receive a response shortly from us.
